Discord Bot

Use the Projects.ink Discord bot to manage your projects and talk to AI — without leaving Discord.

What It Does

The bot brings your project management into Discord:

•Ask AI questions about your projects
•Link a Discord channel to a specific project
•See project status at a glance
•Create tasks from messages by reacting with 📋
•Chat with AI by @mentioning the bot

Add the Bot to Your Server

Use the official install link to add Projects.ink to a Discord server:

1.Open the install link
2.Select the Discord server you want to use
3.Click Continue and then Authorize
4.Confirm the bot appears in your server member list
5.In the channel you want to use, run "/link" to connect that channel to a project

The install link adds both slash commands and the real bot member. Both are needed: slash commands can appear without the bot in the member list, but @mentions, DMs, and 📋 reactions require the bot member to be installed.

Connect Your Account

Before using the bot, you need to connect your Discord account to your Cyrus365 Projects account. This is a one-time setup.

1.Log in to projects.cyrus365.com
2.Go to Settings → Integrations
3.Click "Connect Discord"
4.Authorize on Discord when prompted
5.Done — you're linked

Why Linking Is Required

The bot needs to know who you are on the Projects side. Without linking, it can't check which projects you have access to or run actions on your behalf.

Per-User, Not Shared

Each person links their own account. The bot is not a shared service account — when you talk to the bot, it uses your Cyrus365 identity and your project permissions.

Two people in the same Discord server will get different results depending on what projects they can access and what role they have.

Commands

/ai

Ask the AI anything about the project linked to the current channel.

Usage: /ai what tasks are overdue?

More examples:

•/ai summarize what happened this week
•/ai create a task called "Fix login bug" with high priority

Requires a linked account and a channel linked to a project.

When the bot updates, moves, or assigns a task, it now shows a dedicated task action card with every changed field as before -> after.

Examples:

•Status: To Do -> In Progress
•Priority: Medium -> High
•Group: Drafts -> In Progress
•Sprint: None -> Sprint 3

/link

Link a project to the current Discord channel. After linking, /ai and /project will use that project as context.

Usage: /link Marketing Website

Requires a linked account and access to the project.

If linking fails, the bot shows the Cyrus365 account currently connected to your Discord user, including your display name and a masked email. If that is not the account that should access the project, go to Settings → Integrations, disconnect Discord, sign in with the intended Cyrus365 account, then connect Discord again.

When several projects have similar names, the bot lists the accessible matches. Use a more specific project name or the exact project ID to link the right one.

/unlink

Remove the project link from the current channel. After unlinking, /ai and /project won't work until you link a new project.

/project

Show a quick status dashboard for the linked project — task counts, sprint status, recent activity.

Anyone in the channel can use this, even without a linked account.

@Mention the Bot

Instead of slash commands, you can @mention the bot in any linked channel:

> @Projects.ink what's the status of Sprint 3?

Works the same as /ai but in a more conversational style.

Create Tasks with 📋

React to any message with the 📋 emoji, and the bot creates a task from that message in the linked project.

Great for turning quick ideas or discussions into tracked work without switching apps.

Direct Messages

Project-specific commands need a linked server channel so the bot knows which project to use. If you DM the bot without project context, it may ask you to use a linked Discord channel instead.

Permissions

The bot respects your actual project role:

Your Role	What You Can Do
Owner / Admin	Full access — create tasks, change settings, query everything
Member	Create and edit tasks, ask questions
Viewer	Read-only — ask questions, view status

If you don't have access to a project, the bot tells you. It never shows data you're not supposed to see.

Channel Linking Rules

•One channel = one project. Use /unlink then /link to switch.
•Multiple channels can link to the same project. Useful for topic-specific channels.
•Project-specific commands need a linked channel — use a server channel linked with /link so the bot has clear project context.

FAQ

"Please link your account" — Your Discord account isn't connected yet. Go to Settings → Integrations → Connect Discord on the web app. "Cannot link this project" or wrong account shown — The ephemeral Discord reply shows the Cyrus365 account currently connected to your Discord user. Disconnect Discord in Settings, sign in with the intended Cyrus365 account, then connect Discord again; or ask for project access. Bot doesn't respond to @mentions — Make sure the channel is linked to a project (/link) and your account is connected. Is the bot reading all my messages? — No. The bot only processes slash commands, @mentions, and 📋 reactions in linked channels. It ignores everything else.
